Satellite meetings provide great scientific value to those attending the congress. The program team seeks proposals with hands-on learning activities, clear learning objectives, and a well-thought-out agenda. All satellite meetings must be financially self-sufficient with paid registration fees; budgets and guidelines will be provided to organizers after acceptance.
All satellite meetings will take place on Sunday, 13 July. IS-MPMI 2025 Congress will take place at the Confex Conference and Exhibition Centre at Koelnmesse, in Cologne, Germany, and all satellite meetings will be held at the venue.
Important Information for Organizers:
- Satellite meeting organizers are responsible for all planning of content for the meeting.
- Programming must fit either a half- or full-day timeslot. Half-day satellite meetings will be held either from 08:00 – 11:00 or 12:00 – 15:00. Full-day meetings will run from 08:00 – 14:30. For a full-day meeting, please build at least a one (1) hour break for lunch into the agenda.
- A minimum of 20 attendees is required.
- Satellite meetings must be self-supported through the registration fee and any outside funding must be secured by the organizer before the final registration fee is set.
- A complete budget with all fixed and add-on expenses must be created with help from the organizer and approved by IS-MPMI so appropriate registration fees can be finalized.
- ALL satellite meeting organizers and speakers MUST register so that an accurate headcount can be provided to the venue for room set-up and all food & beverage. This includes any complimentary registrations for organizers and speakers, which must be built into the budget.
- IS-MPMI staff will provide a meeting room, organize room set-up, and will order A/V and all food and beverage. Any IS-MPMI staff labor required beyond the standard package as set forth in the budget planning tool will be billed as part of the cost of the satellite meeting.
- All catering must come from the Confex Conference and Exhibition Centre. Absolutely no outside food or beverage is permitted. If outside catering is brought in, IS-MPMI is in breach of contract and could face heavy fines. The group in violation could also be asked to leave the meeting space.
- Once registration is open, satellite meeting organizers will be regularly updated on registration numbers and will be alerted if the registrations are low.
- If the minimum number of registrations is not met approximately six (6) weeks out, the satellite meeting is subject to cancellation. IS-MPMI reserves the right to cancel any satellite meeting that does not anticipate meeting the 20-person minimum required attendance
- For privacy reasons, IS-MPMI cannot share contact information for meeting attendees, even with satellite meeting organizers. Any communication an organizer needs to send to their attendees prior to their meeting will need to come from IS-MPMI staff. Satellite meeting organizers will provide the required text copy (and attachments, if any) and IS-MPMI will send the message out on their behalf.

- Provide a Submission Title: limit to 100 characters.
- Length of Satellite Meeting: 3 or 7 hours
- Provide a Description: describe the satellite meeting with detail, being sure to include the applicability to the entire IS-MPMI audience, or to a specific audience. DO NOT include the title of the meeting.
- Provide Learning Objectives: provide the attainable learning objective(s) that will be accomplished during this satellite meeting's time frame.
- State the Target Audience: please explain why this topic will be of interest to IS-MPMI 2025 attendees, and which attendees would be the most interested/benefit the most from this topic.
- Diverse Background: short description for how you and this satellite meeting will support IS-MPMI's effort to include voices and perspectives from diverse backgrounds (200 words max).
- Provide the anticipated attendance number.
- Provide the maximum attendance number.
- Outside Funding: Please indicate if you anticipate seeking outside funding for this satellite meeting to help offset registration costs. Include the Company/Organizer and the anticipated amount of funding.
